Job Description:Position Overview: The Program Assistant, Admin position will be based out of field office or State office(ideally the field office) as per need and this position will be reporting to the Program Associate. The position will be based in Hyderabad. The position will perform varied day to day administrative functions, raise purchase requests, provide support in tracking expenses, make logistical arrangements, maintain stock registers and implements administrative policies. Sources refreshments for life sills sessions and mentoring and family and community engagement and keeps track of materials used and still in stock. Executes and coordinates GEP operations such as meetings, conferences, workshops, and/ or special event. Should be willing to travel as and when required. Duties & amp amp Responsibilities: Logistical and procurement related: Logistic arrangements sending invites, booking venues for any training / workshop/ meeting for GEP program. Procure and ensure timely distribution of material support to girls this includes stationary , material support , refreshments at the locations where the Life skills classes are held. Transportation and distribution is the program assistant' s responsibility. Follow the procurement process of vendor identification, collection of quotation, sending to procurement committee, preparing comparative statement and maintaining procurement register Make new or renew contracts of vendors in consultation under the guidance of the Program Associate who may seek guidance of the Program officer. Program Assistant will ensure compliance in accordance with Room to Read policies Raising purchase/ procurement request for field office supplies, regular program activities like life skill sessions, life skill clubs, mentoring sessions, procuring items for material support and help in distribution and community activities and school level activities. Ensure packaging and distribution of materials at the destination and regular follow up with vendors for safe delivery of material Ensure the proper functioning of field office and Gender Resource Centers, adequate supply of material, proper maintenance, support Social Mobilizers as requested. Organize all program related travel and/ or transportation needs Other administrative work: Provide support to PA/ SPA in expense tracking, preparing fund protection and monthly fund requests Ensure vouchers of activities are sent to the State office at least 3 times a month Ensure maintenance of life skill centers at school level Maintain attendance and leave record of monitoring staff and send updates to State admin/ accounts person Fulfill joining formalities of new staff Coordinate with State finance and admin/ HR departments to ensure that monitoring staff gets salary and travel allowance in time and flag related issues Secure adequate advance to ensure field work is smooth and timely settlement of such bills. Maintenance of Inventory Registers at field. Qualifications: Required: Graduate in any Discipline A minimum of 3 years of professional experience Ability to travel frequently within the states Ability to perform multi-task Preferred: Self-motivated, flexible and able to work without close supervision. Honest and trustworthy Strong negotiation skill Flexible attitude towards changing priorities and ability to multi-task with an eye for detail. Strong initiative skill and proactive and solution oriented . Team player.
